You will be working for a major construction company based in their site offices. Duties will include answering the phone, overseeing the diary, attending meetings compiling minutes, transcribing and distribution to the relevant parties as well as booking flights, train tickets and hotel rooms as required. You will also manage all incoming and outgoing post including arranging couriers as necessary, prepare responses to correspondence, file and retrieve company documents, records and reports and ensure all filing is up to date. The ability to create and modify documents such as invoices, reports, memos, letters and financial statements using word processing, spreadsheet, database and/or other presentation software such as Microsoft Office is key.
As Site Administrator, a good first impression is essential as you will be meeting and greeting visitors to the site as well as colleagues and clients providing general refreshments as and when needed. You will oversee the ordering of office stationery, collating and maintaining an inventory of office equipment arranging for the repair and maintenance as and when needed. You will promote strong team relationships with other departments, offices and business units and have the ability and confidence to take on additional responsibilities, when necessary.
Those who have worked in a similar environment are of particular interest however this is not essential.
Skills / Experience:
General administration experience
Clear concise communication both verbally and written
Good working knowledge of Microsoft Word, Excel, Power Point
A good telephone manner with the ability to build rapport
Those who have worked in the construction sector are of particular interest but, not essential.
